Brand Mention Operations

An Unlinked Mention Is a Relationship Check, Not a Link Emergency

Verify the reference, destination, value, editorial independence, and correction need before asking a publisher to add or change a brand link.

Key takeaways

  • Confirm the page, entity, context, publication, author, date, and current destination before contacting anyone.
  • Ask only when a link materially helps the reader verify or continue the referenced subject.
  • Never trade, threaten, pay secretly, or misrepresent the relationship to obtain an editorial link.
  • Track corrected facts, helpful links, declines, removals, and relationship quality separately from raw link count.

01

First decide whether the mention is actually yours

Company names can be shared, abbreviated, misspelled, or used for a product, person, or unrelated organization. Resolve the entity before opening a task. Capture the URL, quoted context, page date, publisher, author or owner, language, whether the page is editorial or sponsored, and how the reference was found.

Check whether the existing link already resolves through a redirect, whether the most useful destination still exists, and whether the mention is positive, critical, neutral, or factually wrong. A correction request and a helpful citation request are different conversations.

Incidental mentionUsually leave it aloneInvent reader value to hit a quota

02

The destination must earn the click

Choose the page that substantiates the mentioned fact: original research, product documentation, company information, case-study method, or a stable resource. Avoid sending every request to the home page. Explain in one sentence how the link helps a reader verify the reference or see the underlying material.

Keep the proposed anchor natural and let the publisher decide. Editorial teams may have policies against adding links after publication, may prefer a different destination, or may decline entirely. A respectful no is a completed outcome, not a trigger for a seven-email sequence.

03

Keep reclamation out of the link-scheme business

Google’s spam policies prohibit link practices intended primarily to manipulate rankings, including paid links that pass ranking credit and excessive exchanges. If money, goods, or services are involved, the relationship and link qualification need appropriate treatment. Do not hide a paid arrangement behind the language of “fixing a mention.”

Follow the publisher’s editorial route and identify who you are. PRSA’s ethics code emphasizes honesty, accuracy, fairness, and avoiding deceptive practices. Those are sensible operating constraints even when no search engine can observe the outreach email.

04

Measure what became more accurate and useful

Track resolved entity, corrected fact, restored broken destination, helpful editorial link, qualified paid link, decline, no response, removal, referral engagement, and ongoing relationship. Verify the published page rather than counting an email reply as completion.

Review requests that produced complaints or removals. A high outreach volume with low reader value can damage the same authority the work was meant to strengthen. The best reclamation program often sends fewer messages as its source assets and redirects improve.
