Renewal Operations

The Renewal Handoff Starts at Closed-Won, Not Ninety Days Before Expiry

Carry promises, commercial terms, stakeholders, adoption goals, risk, dates, and ownership from sale through delivery so the renewal is not a surprise reconstruction project.

Sales, customer success, and finance colleagues handing over a renewal record

Key takeaways

  • Create the renewal record and ownership when the original agreement is accepted.
  • Transfer promises, outcomes, stakeholders, commercial details, and known risk—not a transcript dump.
  • Use dated milestones tied to notice periods, adoption, value review, and procurement.
  • Reconcile contract, billing, CRM, and customer-success state before outreach.

01

The future renewal inherits today’s sales promise

A seller may agree to an implementation condition, reporting cadence, stakeholder review, or pricing exception that never reaches customer success. Months later, the account appears at risk for failing an expectation the delivery team did not know existed.

At closed-won, create a structured handoff containing the signed scope, products, dates, commercial terms, promised outcomes, decision criteria, stakeholders, implementation dependencies, exceptions, and unresolved risk. Link the source documents rather than rewriting legal terms in a note.

02

Assign a clock and an accountable owner

Calculate the renewal working window from the contract end date, notice period, procurement cycle, pricing approval, and customer planning rhythm. Create milestones for implementation completion, adoption review, stakeholder check, value review, risk escalation, proposal, and signature.

HubSpot renewal quotes must be associated with a deal and can create or use a renewal deal. Whatever platform is used, keep one durable identifier connecting the original contract, renewal opportunity, quote, and resulting contract.

03

Reconcile systems before the customer sees the mismatch

Compare CRM amount and dates with the signed agreement, billing status, product usage, service entitlements, support issues, and any amendment. Flag disputed invoices, unused products, missing contacts, ownership changes, and promises without evidence.

Do not reduce health to one opaque color. Show the underlying observations, freshness, and owner. A high usage score does not erase an unresolved executive concern, and a quiet account is not automatically unhealthy when its intended use is periodic.

04

Close the loop into selling and delivery

Record renewal, expansion, contraction, churn, delay, and no-decision reasons with evidence. Compare promised outcomes with achieved outcomes and identify repeated handoff failures. Feed useful patterns into qualification, packaging, implementation, and account planning.

Audit whether renewal deals were created on time, owners accepted handoffs, milestones occurred, notice dates were respected, and customer conversations began with shared context. The process should make the relationship more continuous, not merely make the forecast more complete.
