The transcript contains more than the discovery question
A prospect names employees, systems, budgets, incidents, customers, competitors, security constraints, and internal politics. The platform transcribes it, syncs it to the CRM, sends it to an AI assistant, and leaves it searchable forever. A useful sales conversation has become an uncontrolled research dataset.
Map the data flow: invite, notice, call provider, recorder, transcription processor, enrichment, CRM, coaching, analytics, AI vendor, export, backup, and deletion. For every step, name purpose, owner, access, region, retention, and failure path. Obtain qualified legal guidance for the jurisdictions and relationships involved.

Notice should reach every person who joins
Do not assume the scheduler’s acceptance covers a colleague who joins late. Put the notice in the invitation and state it at the start where required or appropriate. Offer a workable no-recording route. Employees and sellers also need a clear monitoring policy; consent may not be the right basis where power is unequal.
Data protection law varies. ICO guidance emphasizes purpose limitation, minimization, and careful monitoring. Treat those as design questions even outside the UK: does the team need raw audio, a transcript, a short verified note, or only aggregate operational metrics?

Redact before the corpus becomes convenient
Detect and remove credentials, payment data, health detail, personal contact data, customer secrets, and unrelated personal stories before research access. Automated redaction needs sampling and escape tests. Give raw audio a shorter path and narrower role than a de-identified insight repository.
Contractually determine whether vendors train on submitted data, which subprocessors receive it, where it is stored, how deletion propagates, and how an incident is reported. “Enterprise plan” is not a data-flow answer.

A confident summary can still assign the wrong sentence to the wrong speaker
Test transcription and summarization across accents, languages, overlapping speech, domain terms, poor connections, and multiple speakers. Preserve a confidence or verification state. Never turn an unverified transcript fragment into a customer quotation or product requirement.
Audit searches, exports, access changes, failed deletion, and quotations. Keep a route for a participant to request correction or deletion where applicable. Conversation intelligence is useful when it reduces repeated listening without erasing the duties created by recording a human being.
