Paperwork into payment

Dispatch Back Office & Settlements

Most carriers do not have a revenue problem so much as a paperwork problem. A signed POD sitting in a cab for four days is an invoice that has not been submitted, and a lumper receipt nobody photographed is money written off. We close loads out the same day: documents collected and checked, invoice packets assembled to each broker’s requirements, factoring submissions made, and short-pays queried while the detail is still fresh.

Service

Business outcomes

The change this work should make.

The engagement begins with a business constraint, not a list of deliverables. These are the outcomes we use to shape the scope and decide what deserves attention first.

01

Invoices out the day of delivery

02

Fewer short-pays accepted by default

03

Accessorials actually billed

04

Settlement figures the owner can check

Delivery workflow

From unresolved problem to an operating system.

We validate the constraint before building, keep decision owners visible, and document the logic your team will inherit.

  1. 01

    Collect at delivery

Signed BOL, POD, lumper and scale receipts captured on delivery rather than at the end of the week. Everything after this step depends on documents that exist.

  2. 02

    Check before submitting

Documents matched against the rate confirmation: agreed rate, accessorials, appointment times, reference numbers. Mismatches get resolved before invoicing, because they are far harder to argue afterwards.

  3. 03

    Invoice and factor

Packets assembled to each broker’s stated requirements and submitted to factoring or billed direct. Brokers reject on format more often than on substance, so the format is worth getting right.

  4. 04

    Chase what is short

Short-pays, unpaid detention and missing accessorials tracked and queried with the documentation attached. Reported weekly, so patterns by broker become visible instead of anecdotal.

Straight answers

Questions worth resolving before the scope.

The useful answer is usually conditional. We keep those conditions visible rather than turning them into a promise the evidence cannot support.
